Setting Up Change Management Rules for Assets

FlexNet Manager Suite 2019 R1 (On-Premises Edition)

You can configure the processing rules automatically applied to asset-related changes, including the storage, retirement or disposal rules. You can also set up asset synchronization rules.

To configure change management rules for assets:

  1. Navigate to the system menu ( in the top right corner) and click System Settings.
  2. Click the Assets tab, and set up the rules for asset retirement, storage, and disposal.
    Tip: The following table illustrates the system's automatic behavior when you select or clear the corresponding check boxes.

    Set written off value when an asset is retired When the status of an asset is set to Retired, the current value of the asset is copied into the Written off value field on the General tab (in asset properties). When the status of an asset is set to Retired, the Written off value field is not filled in automatically. Operators can enter that value manually.
    Remove related software installation records and deallocate licenses When the status of an asset is set to In storage, Disposed, or Retired:
    • Any installation records for the computer associated with this asset are removed
    • Any individual allocations of license entitlements to the associated computer are removed
    • The asset (and its linked computer) are excluded from license compliance calculations.
    When the status of an asset is set to In storage, Disposed, or Retired:
    • Any installation records for the computer associated with this asset are NOT removed
    • Any individual allocations of license entitlements to the associated computer are NOT removed
    • The asset (and its linked computer) are excluded from license compliance calculations.
  3. Set up asset synchronization rules.
    Tip: The following table illustrates the way FlexNet Manager Suite will process assets after you select or clear the corresponding check boxes.

    Synchronize assigned user in device and asset properties Whenever you change the asset's Assigned user, FlexNet Manager Suite automatically changes the Assigned user in the associated device record to the same value, and the other way around. On the Ownership tabs, you can record different assigned users for an asset and a device associated with that asset.
    Tip: You could do that if an assigned user for an asset is, for example, a manager who is responsible for that asset. You can then leave blank the Assigned user on the device record (not asset), so that compliance calculations for the device can use the Calculated user values derived from inventory.
    Synchronize enterprise groups in device and asset properties Whenever you change the enterprise groups an asset is assigned to, the same changes are automatically made to the associated device record, and the other way around. On the Ownership tab in asset properties, you can assign assets and their associated devices to different enterprise groups (Location, Corporate unit, or Cost center).
    Synchronize enterprise groups in asset and sub-assets properties Whenever you change the enterprise groups an asset is assigned to, the same changes are automatically made to the sub-assets, if any.
    Note: You can still assign a sub-asset to a different enterprise group: the master asset’s assignment is not synchronized, and will remain unchanged.
    You can assign the assets and their sub-assets to different enterprise groups.
  4. Click Save.
